3 Quick Apply Full-time 2 hours ago Full Job Description The job of the Program Administrative Assistant done for the purpose/s of providing a wide variety of complex administrative and secretarial support to assigned administrator; conveying information regarding program functions and procedures; ensuring efficient operation of support functions; and coordinating assigned projects and content area activities.
Essential Functions Acts as project manager on specialized and ongoing projects (e.
g.
planning, and coordinating multiple presentations, direct mailings, creating brochures, etc.
) for the purpose of disseminating information.
Analyzes operating practices, recordkeeping systems, and form controls for the purpose of creating or revising systems as needed and implementing changes.
Compiles data from a wide variety of sources (e.
g.
time sheets, calendars, expenditures/budget, Internet research, etc.
) for the purpose of preparing reports, and/or preparing information for assigned administrator.
Compiles child assessment data using various databases (e.
g.
ChildPlus, Teaching Strategies Gold, etc.
) for the purpose of monitoring the growth and development of the children.
Compiles data in various reporting databases systems (e.
g.
Pelican, ChildPlus, etc.
) for the purpose of maintaining accurate program data.
Coordinates a wide variety of projects, functions and/or program components (e.
g.
meetings, in-service events, travel and accommodations, etc.
) for the purpose of completing activities and/or delivering services in a timely fashion.
Demonstrates knowledge of Excel spreadsheets, program data input and data systems (e.
g.
ChildPlus, Pelican, etc.
) for the purpose of assisting assigned administrator in utilizing program data to gage the success of the assigned content area.
Establishes, develops, maintains and updates filing system for assigned Assistant Director of Student Services HS/EHS Director and content areas for the purpose of retrieving information as needed in a timely manner.
Minimum
Qualifications:
Targeted, job related education with study in job-related area Oral and written communication skills, computer literacy regarding management information systems, strong organizational skills, must use tact and diplomacy, acts as leader and visionary on Early Head Start/Head Start issues.
